Check-in is the guest's first real impression of your hotel, and the moment your front desk is most likely to miss an ID check, skip a C-Form, or record the wrong GST number. A written SOP fixes that: it makes every arrival consistent no matter who is on shift. Here is a clean, India-ready check-in process, with a printable checklist.
Before the guest arrives
Good check-in starts before the doorbell. Each morning, pull the day's arrivals, confirm which rooms are cleaned and ready, flag VIPs and repeat guests, and note any special requests or early-arrival requests. A guest who feels expected is already impressed.
The check-in steps
1. Greet and confirm. Welcome the guest by name, pull up the reservation, and confirm nights, room type and rate.
2. Verify ID. Take a valid government photo ID. For a foreign national, take the passport and visa and file the C-Form, ideally right now, not 24 hours later.
3. Capture contact and GST details. Record the mobile number (you need it for the invoice and for direct follow-up) and, if the guest wants a GST bill, their GSTIN.
4. Assign the room. Give a clean, ready room that matches the booking; honour reasonable upgrade or preference requests where you can.
5. Take payment or pre-authorisation. Collect the advance or authorise a card, and record it against the folio so the bill is clean at checkout.
6. Orient and hand over. Explain breakfast timing, Wi-Fi, checkout time and facilities, then hand over the key.

A consistent check-in protects you on compliance (ID and C-Form never skipped), keeps billing clean (GST details captured up front), and makes the guest feel looked after. It also makes the day's close easier, because every folio is complete. FAQs
What is the standard hotel check-in process?
Greet the guest, confirm the reservation, verify a government photo ID (and file the C-Form for foreign guests), capture contact and GST details, assign a clean ready room, take payment or a pre-authorisation, explain amenities and timings, and hand over the key. A written SOP keeps this consistent across every shift.
What documents are required at hotel check-in in India?
A valid government photo ID for Indian guests (Aadhaar, passport, driving licence, voter ID). For foreign nationals, a passport and visa are required and the stay must be reported via the C-Form. Capturing the mobile number and GST details, if the guest wants a GST invoice, is also standard.
How long should check-in take?
A smooth check-in takes two to five minutes. Delays usually come from hunting for the reservation, re-typing guest details that were already captured at booking, or a room that was not marked ready. A good property management system removes all three.
What is a check-in SOP and why does it matter?
A standard operating procedure is a fixed sequence your front desk follows for every arrival. It matters because it prevents missed ID checks, skipped C-Forms, wrong GST details and inconsistent guest experience, especially when different staff cover different shifts.
